🕘 Typical run sheet
- Bump-in / arrival: about 90 minutes before doors open.
- Stallholder briefing: about 30 minutes before doors open.
- Pack-up / bump-out: within an hour of the event finishing.
Exact times, the event flyer, social media tiles, a parking map and the venue evacuation diagram are all sent in your confirmation email before the day.
✅ Provided on the day
- Tables and chairs for every stall — bring your own banners and tablecloths.
- Lunch and drinks for stallholders (vegetarian, vegan and halal options).
- A concierge desk at the entrance guiding community members to the right services.
- Interpreter support through TIS, plus any multilingual staff you can bring.
- Private interview rooms for one-on-one conversations — ask at the concierge desk.
🎒 What to bring
- Service banners and tablecloths.
- Extra power boards and cables if you need access to power.
- Fully charged phones/devices and your own internet connection — venue Wi-Fi can slow down with heavy use.
- A laptop or tablet to support SECL's data collection on the day.
- Merchandise and brochures — the community loves a goodie bag!
- Multilingual team members for extra language support, if available.
📣 Help us promote it
Please share the event flyer and social tiles through your networks, contacts and local branches, and consider a targeted message to your customers in the area letting them know about the event and your presence on the day. Translated promotional resources are available on request — email byb@secl.org.au.
📊 Survey & data collection
SECL collects data about community needs and the support provided on the day — it's vital for the continuation and growth of these events. You'll receive a survey link before the event; please test it in advance and bring a connected device. A post-event survey will also be sent for your feedback.
Why we ask for this: your name, contact details and headcount are used only so SECL can review this registration, plan the event, and coordinate with you on the day — never made public. Only your service's name, logo and "how you can help" summary appear on the website, and only after SECL approves.
Please only enter your own name and contact details. If you're registering on a colleague's behalf, let them know first — we'll be contacting them about the event.
Your own details (name, contact details, headcount, notes) are held privately and deleted after 5 years, and you can ask us to correct or delete them any time by emailing byb@secl.org.au. Your service's name, logo and "how we can help" summary appear on this website's public event listing once SECL approves your registration. Email us if you'd like them changed or taken down.
